  • An ERP footprint beyond finance: manufacturing, warehouse, field service
  • A board or investor mandate you are not going to win an argument against

Reasons that usually do not survive contact

  • Reporting that Intuit Enterprise Suite or Enterprise already handles
  • Inventory complexity solvable with Advanced Inventory or a connected WMS
  • User count alone, which is a licensing question, not a platform question
  • A file that is slow because it was never maintained, not because it is too big

We will tell you if the answer is no. We migrate in both directions and have no reason to sell you a platform you do not need. If Intuit Enterprise Suite fits, we will say so on the call.

Scope

What moves from QuickBooks into NetSuite.

Chart of accounts

Remapped to a NetSuite account structure with segments, departments, classes, and locations designed up front. This is the decision that determines whether your NetSuite reporting is better than what you left.

Customers, vendors, and contacts

Deduplicated, address-normalized, and loaded with the parent-child hierarchies NetSuite expects. Terms, tax codes, and credit limits mapped rather than defaulted.

Items and inventory

Item types translated to NetSuite item records, with units of measure, pricing levels, preferred vendors, and opening quantities and values reconciled to your QuickBooks valuation report.

Open transactions

Open AR, open AP, undeposited funds, unapplied credits, and open sales and purchase orders, loaded so the aging in NetSuite matches the aging you signed off in QuickBooks.

Historical detail

Posted transaction history loaded to the depth you scope, typically two to three years detailed with prior years as opening balances by period.

Trial balance and opening equity

The number that has to tie. We reconcile the NetSuite trial balance to the QuickBooks trial balance at the cutover date, line by line, and hand you the reconciliation.

The hard parts

Where QuickBooks to NetSuite projects actually go wrong.

Segment design decided too late

NetSuite subsidiaries, departments, classes, and locations are structural. Changing them after go-live means reposting history. This gets designed in discovery, with your controller, before a single record loads.

Import order and dependency

NetSuite CSV imports fail loudly when a referenced record does not exist yet. Entity, item, and transaction loads run in a dependency order that is tested in a sandbox before it touches production.

QuickBooks constructs with no NetSuite equivalent

Items used as accounts, journal entries doing the work of transactions, negative inventory, and progress invoicing all need explicit decisions. Left alone, they load as noise.

Nobody owns the reconciliation

Implementation partners configure. Someone still has to prove the numbers tie. On our projects that owner is named in writing at the start.

QuickBooks file assessment, subsidiary and segment design, scope of history, and a written cutover plan agreed with your NetSuite implementation partner.

Cleansing and mapping

Deduplication, normalization, and the mapping workbook your controller signs off. Every unmapped record is surfaced, not defaulted.

Sandbox load and reconciliation

Full load into a NetSuite sandbox, then trial balance, AR aging, AP aging, and inventory valuation compared against QuickBooks. Iterate until they tie.

Production cutover and first close

Delta load over the close window, QuickBooks retained read-only, and support through your first month-end in NetSuite.

QuickBooks to NetSuite questions.

Do you replace our NetSuite implementation partner?

No. They own configuration, workflow, and training. We own the data. Most of our NetSuite work arrives through implementation partners who would rather not carry the conversion risk.

Can you migrate multiple QuickBooks files into one NetSuite account?

Yes. Multi-file consolidation into a OneWorld subsidiary structure is common. Account and entity conflicts across files are resolved in the mapping workbook before load.

What if we decide to stay on QuickBooks?

Then you have spent discovery money to avoid a seven-figure mistake. We have moved companies off NetSuite back to QuickBooks Enterprise as well, and that direction is a real service, not a joke.

How long does it take?

Data workstreams typically run six to twelve weeks depending on entity count and history depth, aligned to the implementation timeline rather than running ahead of it.
