Ramp is timed to miss your peak. We onboard tax seats between May and November wherever possible, so the returns they prepare during shadowing are extensions and amendments rather than deadline work. A seat onboarded in the autumn is fully productive by January.

Weekly check-in, monthly performance review, quarterly capacity planning. Scale up for busy season, scale back after. Thirty days’ notice, either direction.

Work happens inside your systems through a hardened virtual desktop or your VPN. No local downloads, no data at rest offshore, no shadow copies. Every team member is background-verified and signs an individual confidentiality agreement. Access is least-privilege and MFA-enforced.

Do I need client consent to send returns offshore?
For US tax engagements, yes. IRC §7216 requires written client consent before taxpayer information is disclosed to a preparer located outside the United States, and the consent has specific format and timing requirements. We provide a compliant template and guidance on when it applies. Most firms find this is a five-minute conversation with clients, not an obstacle.
What is the turnaround on a return?
It depends on complexity and on your workpaper standard, which is why we scope it on the call. As a working baseline, a straightforward 1040 comes back within 48 hours of a complete document set, and a 1120S within three to five business days. We agree the SLA in writing before the season starts, not during it.
Can they respond to IRS notices?
They prepare the response, the analysis and the supporting documentation. The filing and the signature stay with your licensed practitioner, because the offshore seat is a preparer and not an authorised representative.
How do you handle PTIN and preparer identification?
Your firm’s PTIN and your signing preparer’s details go on the return, exactly as they would with any staff preparer. The offshore seat is documented internally in your workpapers as the preparer. We provide the documentation your peer reviewer will ask for.
What about data security during busy season?
The controls do not change under volume. Work happens inside a hardened virtual desktop or your VPN with local storage, USB, printing and clipboard transfer disabled. Alignment with IRS Publication 4557 safeguards and your firm’s WISP is documented and available for your review.
Can we start with just overflow work?
Yes, and many firms do. A fixed-scope busy-season overflow engagement is the lowest-risk way to test the model. If it works you convert to dedicated seats for the following year, with the same people.
