QuickBooks Optimization FAQ
Will I lose any history when you condense my file?
No. A condense removes the detail behind closed, fully reconciled transactions and replaces it with summarised journal entries, so your balances and your reporting totals do not change. Open transactions, your lists and your chart of accounts stay exactly as they are. Before we hand the file back we tie the balances to the reports you gave us at the start, so you can see for yourself that nothing moved.
How large is too large for a QuickBooks company file?
There is no single number, which is why anyone who quotes you one is guessing. What matters is the relationship between the file size, the number of users, the age of the data and the hardware it runs on. A file that is comfortable for two users on a local server can be unusable for twelve users over a VPN. The Health Check looks at all of those together rather than at file size alone.
What is the 14,500 limit and does it apply to me?
QuickBooks Pro and Premier cap the combined total of your Customer, Vendor, Employee and Other Names lists at 14,500 entries. Items have their own ceiling. When you reach the limit QuickBooks stops letting you add new names, which usually surfaces at the worst possible moment. Enterprise has far more headroom, so one option is an edition change and the other is a list reduction. We will tell you which is cheaper for your situation.
Can you fix a file that fails Verify Data?
Usually yes. A failed verification means QuickBooks has found damage it cannot resolve on its own, and running Rebuild repeatedly does not change that. We repair the file at the data level, then run verification again until it comes back clean. If a file is genuinely beyond repair we will say so early rather than bill you for the attempt.
Do we have to stop working while you have the file?
No. We work on a copy, so your live file keeps running and your team keeps invoicing. When the optimized file is ready we agree a cutover point with you and you move across at a moment that suits your close cycle.
How do you price this?
Fixed scope, quoted after the Health Check and agreed before any work starts. You will not get an hourly meter running against a file whose problems nobody has measured yet. If the assessment shows the job is smaller than you feared, the number reflects that.
Do you work on QuickBooks for Mac and QuickBooks Online?
We recover and repair QuickBooks for Mac files. QuickBooks Online is a different situation, because Intuit hosts the data and the file-level problems that affect Desktop do not exist in the same form. If your issue is with QuickBooks Online, the conversation is usually about data structure and reporting rather than optimization, and we will point you to the right service.
